Privacy Policy

Effective September 27, 2026

The short version

Fieldbook is a private notebook. What you write in it is yours.

  • No one at Vana Lab reads what you write. Not us, not a coach, not a parent.
  • We don't sell your information.
  • There are no ads in Fieldbook, and no advertising trackers.
  • You can download a complete copy of everything you've written.
  • You can delete your account, and it's actually deleted — not archived.

This describes how Fieldbook works today. If it changes, we'll tell you before it does — see "Changes," below.

The rest of this page is the detail behind those statements.

Who we are

Fieldbook is operated by Vana Lab LLC, a New York limited liability company.

Questions about privacy: fieldbook@vanalab.com

By mail: Vana Lab LLC, 418 Broadway, Suite N, Albany, NY 12207, United States.

What we collect

Your email address. Used to sign you in. Fieldbook uses a sign-in link instead of a password, so your email is how your account is identified.

Your age range. When you first sign in, we ask for your date of birth. We compute whether you are under 13, 13–17, or 18 or older, and we store only that range along with the date you answered. Your actual date of birth is computed in your browser and is never stored, transmitted, or logged anywhere.

What you write. Everything you write in Fieldbook, and anything you build from it. This is the content of your Fieldbook.

Basic account state. A small amount of information about the account itself — such as how far you've got through setting it up, and how you were invited.

Email notification settings. Which kinds of email you've chosen to receive, and a short record of which ones we've already sent you. That record exists so we don't send you the same message twice — it's not a log of what you do in the app, and it never includes anything you've written.

We don't collect your name, phone number, location, address, or school. We don't use advertising trackers, analytics pixels, or session recording.

What we don't do with what you write

This is the part most privacy policies are vague about, so we'll be specific.

No one reads it. Not Vana Lab staff, not contractors, not researchers. Reading what you write is not part of how we operate Fieldbook.

It isn't monitored. Nothing you write triggers an alert, a flag, or a notification to anyone. This means Fieldbook cannot help in an emergency. If you're in crisis, please see fieldbook.vanalab.com/crisis-support.

It isn't sold, rented, or shared for advertising. We don't sell personal information, and we don't share it for cross-context behavioral advertising, as those terms are used under state privacy laws.

How it's protected

Access to your content is enforced by the database itself and scoped to your account — not by a filter in our app that could be bypassed.

What you write is transmitted over an encrypted connection, and Fieldbook is designed to keep it out of the places where information tends to get logged or retained incidentally along the way.

No system is perfectly secure, and we can't guarantee against every possible attack. As the operator, we have administrative access to the systems that store your content, as any service does. We don't use it to read what you write.

Who else is involved

Fieldbook uses a small number of service providers, each with access limited to what its function requires:

  • Supabase — database and authentication. Stores your account and your content.
  • Vercel — hosting and delivery of the application itself. Receives ordinary web requests.
  • Resend — sends your sign-in emails and any notification emails you haven't turned off, like a reminder that an experiment you set up is ready to review. Receives your email address and the content of those emails.

We don't share your information with anyone else, except where we're legally required to, or to protect someone's safety or our legal rights.

How long we keep it

Your content stays until you delete it or delete your account. There's no automatic expiry — the point of Fieldbook is a record that lasts.

When you delete your account, everything associated with it is permanently deleted from the database, along with your authentication record. This is a hard delete, not an archive. It cannot be undone and we cannot recover it for you.

Deleted data is removed from backups as they cycle out.

Your choices

Download everything. Settings → Download my data gives you a complete copy of everything you've written. There's no request to approve and no waiting.

Delete your account. Settings → Delete account. Immediate and permanent.

Turn off notification emails. Every notification email includes an unsubscribe link, and you can turn notification emails off in Settings.

Correct your information. You can edit your account details in Settings. Contact us at fieldbook@vanalab.com if something needs correcting that you can't change yourself.

Depending on where you live, you may have additional rights — to know what we hold, to get a copy, to have it deleted, to correct it, and to not be discriminated against for exercising those rights. Email fieldbook@vanalab.com and we'll respond within 45 days. We will never charge you for exercising these rights or give you a worse experience for it.

People under 18

Fieldbook is open to people 13 and older. It is not intended for children under 13, and we don't knowingly collect information from them. If someone tells us they're under 13 during signup, their account is deleted rather than created. If you believe a child under 13 has an account, email fieldbook@vanalab.com and we'll delete it.

For users aged 13 to 17, Fieldbook is built the way privacy law increasingly expects services for minors to be built, and the way we'd want it built regardless:

  • Privacy is the default, not a setting you have to find.
  • We collect the minimum needed to run the service.
  • We don't profile users or build behavioral models of them.
  • There is no advertising and no ad targeting of any kind.
  • Parents, coaches, and other users can't see a user's Fieldbook unless the user chooses to share it.

New York residents under 18

Vana Lab is a New York company, and New York's Child Data Protection Act applies to users under 18 in New York.

We process the personal data of users under 18 only where it's strictly necessary to provide Fieldbook — creating and securing your account, storing what you write, and showing it back to you — or where you've given informed consent. We do not sell the personal data of minors. We do not use it for advertising, profiling, or targeted content, and Fieldbook has no advertising of any kind.

If a feature would require processing beyond what's strictly necessary to run the service, we'll ask for consent first, and declining will not reduce your access to Fieldbook.

Questions: fieldbook@vanalab.com.

Washington residents

If you live in Washington, some of what you write in Fieldbook may be treated as consumer health data under Washington's My Health My Data Act, because personal reflection can touch on mental and emotional wellbeing.

Our Washington Consumer Health Data Privacy Notice sets out what that means, what rights you have, and how to exercise them. It's a separate document because Washington law requires it to be.

In summary: we don't sell consumer health data, we don't share it for advertising, no one reads it, and you can download or delete all of it yourself at any time.

Where your information is

Fieldbook is operated from the United States, and information is stored there. If you use Fieldbook from outside the US, you're sending your information to the US, where privacy laws differ from your own.

Changes

If we change this policy, we'll update the date at the top. For changes that meaningfully affect how your information is handled, we'll notify you (for example, by email or in the app) before the change takes effect — not after.
